Position Summary

Performs all aspects of administrative secretary support to multiple divisions. Creates and maintains monthly physician call schedules. Other department duties as assigned.

Position Requirements

Educational Requirements: High school graduate. Associate degree in secretarial science preferred.

Experience Requirements: Two or more years’ experience as an administrative secretary. Knowledge of administrative /secretarial practices in academics preferred.

Business Skill Requirements: Moderate proficiency of Microsoft Office; good typing skills; good organizational, interpersonal and communication skills; independent problem solving abilities.

Preferred Attributes: Medical Secretary Certification; Knowledge of medical terminology; previous healthcare experience; previous academic office experience.

Work Schedule Summary

Specific Duties and Responsibilities

Percentage 50%

Provides administrative and office support activities for multiple Generalist physicians, Gyn-Oncology physicians, and certified nurse midwifes which involves independent problem solving and confidentiality. Duties may include fielding telephone calls, receiving and directing visitors, word processing, and filing.

Percentage 30%

Perform other secretarial duties in Generalist, Gyn Oncology, and Midwifery divisions including keeping minutes of division meetings, transcribing, typing, travel, scheduling itineraries of visiting faculty, mailing, shipping, coordinating meetings and educational offerings, updating and maintaining medical dues, membership applications to various medical institutions and societies. Arrange all new applicants for General Division & Gyn Oncology Division interviews as follow: itinerary, hotel reservation, arranges transportation and makes dinner reservation. After visit, collect all necessary paperwork for reimbursement and provide to accounting. Quarterly provider assistance in the completion of their FAR forms.

Percentage 15%

Compose and type correspondence, manuscripts/publications, manuscript reviews, PowerPoint presentations, spreadsheets, etc. as needed by individual physicians
